An invoice forwarded by an assistant is still from the supplier. Filing it by who sent the mail is how finance inboxes end up wrong.

Most mailbox automation files a document by the address it arrived from. That works until an invoice is forwarded by an assistant, sent from an accounting bureau on the supplier's behalf, or mailed from a personal address because the portal was down. In other words, it works until it matters. The counterparty is a fact printed on the document. So that is where it is read from.
Company mailboxes are scanned end to end and every arriving document is classified against an open set of types rather than a fixed list, so a document nobody anticipated is not silently dropped into whichever bucket is closest. The counterparty is then identified from the document itself. One email carrying several invoices is split into separate records, because it was several invoices.
A phone photo of a paper invoice is still an invoice. So is a flatbed scan at an unhelpful angle. Both are read, so neither becomes the exception that quietly sends a category of documents back to manual entry. That is usually how an automation project ends up covering a smaller share of the work than anyone planned.
You do not key in a counterparty list: the cards are derived from the mail archive you already have, with agreement terms inferred from the history. Duplicates are merged across domains and legal suffixes, so one company is one record. The same firm invoicing from two domains under two spellings of its legal form is still one firm.
Outgoing invoices are planned six months ahead and generated on your own template, with the VAT table and bank details in place. Bank and card statement lines are reconciled against invoices with one-document-one-payment enforced, so a single payment cannot quietly satisfy two invoices. Sending is always a manual confirmation: reading, filing and matching are automated, and billing a customer stays with a person.
